Ascendant LLP, a leading boutique law firm with a global client base, is seeking an Office Administrative Staff member to join our team. The successful candidate will provide administrative support to our attorneys and other office staff, ensuring the smooth operation of our office and the delivery of high-quality services to our clients. This is an in-office position. Bilingual skills in Mandarin, Korean, or Spanish is a plus, but not required.
- Answering and directing phone calls and emails.
- Greeting clients and visitors, and providing excellent customer service.
- Managing office supplies and inventory, including ordering and restocking as needed.
- Maintaining office equipment, including scheduling repairs and maintenance.
- Assisting with scheduling and coordinating meetings, events, and travel arrangements.
- Preparing and editing documents, correspondence, and reports.
- Filing and organizing documents, records, and other materials.
- Providing general support to attorneys and other office staff as needed.
- Support HR functions, including benefits administration, employee records, and new hire onboarding.
- Assist with ad hoc administrative tasks, such as report preparation, expense management, and event planning.
- Proven work experience as an Office Administrative Staff member or similar role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and other office software.
- Ability to multitask and prioritize workload effectively.
- Attention to detail and accuracy.
- Ability to work independently and as part of a team.
Education and Qualifications:
- Bachelor’s degree in Business Administration or a related field is preferred.
- Relevant certifications or training courses in office administration, bookkeeping, or related fields are a plus.
